What doesn't sync between JobNimbus and QuickBooks
Vendors, draft invoices, taxes and a job name you changed. The list of what the JobNimbus QuickBooks sync does not carry, pulled together from JobNimbus's own help articles.
Vendors never sync to QuickBooks Online. Estimates, invoices and credit memos sitting in Draft do not sync. Taxes travel one way only, out of QuickBooks. And a job name you change in JobNimbus does not reach QuickBooks Online. Not even on the two-way setting. Below is the full list, what turning the integration on changes inside JobNimbus, and what to do about the gaps.
Worth saying first: this is not a knock on JobNimbus. The list exists only because JobNimbus publishes its limits in plain language. They just sit across several separate articles, so no single page tells you what does not move. Checked against JobNimbus's own help documentation in July 2026.
What never syncs?
JobNimbus's article on what fields sync to QuickBooks Online names the exclusions directly, one at a time, across the page. In one place, as of July 2026, the list comes out like this.

Read the middle column twice. Every row is a job for a person: the retyping that never shows up on an invoice.
The multi-file row bites hardest if you run two branches.
What syncs only one way?
More than the settings suggest. JobNimbus documents three sync configurations: 2-way, 1-way import and 1-way export. Under 1-way export, it states the sync "only allows you to sync your JobNimbus Jobs to QuickBooks Online SubCustomers. This means that no edits on the QuickBooks side will come back to JobNimbus."
The part that catches people is that 2-way is also one-way in places. Per JobNimbus's article on syncing Projects with Jobs, a Job display name changed in JobNimbus will not sync to the QuickBooks Online Project, while a Project name changed in QuickBooks Online will reflect back into JobNimbus. Same field, same 2-way setting, one direction.
What changes inside JobNimbus when you turn the integration on?
JobNimbus gives this an article of its own. It says "Custom products in Work Orders, Material Orders, Estimates and Invoices are no longer allowed", so every line item now has to be selected from Products & Services, or added as a new product first. On taxes it is just as direct: "You cannot add taxes in JobNimbus. You will need to add a new tax within QuickBooks". The Taxes section in JobNimbus settings locks. Two smaller rules sit alongside them: no colon character in product names, and a character cap on product names that differs between QuickBooks Desktop and Online.
None of that is unreasonable. Two systems sharing one catalogue means one has to be in charge of it, and JobNimbus is telling you which. That is the trade you make with anything bought off the shelf (where a roofing CRM stops is the longer version). Better made on purpose than discovered mid-estimate.
QuickBooks Online or Desktop: does it matter?
It matters, and it starts with where the answer is written. The article naming the exclusions above is specifically about QuickBooks Online. The constraints article covers both products, and the one place it separates them is the product name cap: 32 characters on Desktop, 100 on Online, as of July 2026. Same field, roughly a third of the room.
So read the table above as the QuickBooks Online list. If you run Desktop, check the documentation for Desktop specifically before planning around any single row.
What should you do about the gaps?
Price them rather than argue with them. Take the middle column and, for each row, name the person covering it today. Vendors is usually first. Nothing about a vendor crosses, so the same supplier gets set up twice and kept matching by hand. The Draft rule is the cheapest to fix and the hardest to spot, because a Draft estimate looks like a broken sync and is only a status.
Then use the list as a template. These four questions work on any vendor: which records never sync, which fields move one way only, what does turning this on stop me doing and how many accounting files can I connect? JobNimbus answers all four in public. If the next one cannot, that is worth knowing before the contract.
And where a gap costs real time every week, a different product is not the only option. Connecting the two systems you already run (on the fields you care about, in the direction you need) is ordinary work, built on the same published interfaces every integration uses. The difference is not the technology. It is that the field list is yours.
Frequently asked questions
Why is my JobNimbus invoice not syncing to QuickBooks?
Check its status before anything else. JobNimbus documents that Estimates, Invoices and Credit Memos will not sync while they sit in Draft status. A record that looks complete on screen but has never been moved out of Draft is doing exactly what the documentation says it will do. Nothing.
Can JobNimbus sync to more than one QuickBooks company file?
No. JobNimbus's own documentation states that all of your JobNimbus locations can sync to only a single QuickBooks Online file. If you run two branches that keep separate books, one of those sets of books is being maintained outside the sync by a person.
Does a 2-way sync mean everything syncs both ways?
Not in JobNimbus. Its documentation shows the 2-way setting is asymmetric in at least one place. A Job display name changed in JobNimbus will not sync to the QuickBooks Online Project, while a Project name changed in QuickBooks Online does reflect back into JobNimbus. Same field, one direction.
Can JobNimbus create a project in QuickBooks?
No. JobNimbus's help documentation states that it cannot create Projects in QuickBooks. Enabling Project sync only imports Projects from QuickBooks into JobNimbus, where they arrive as jobs. If a job starts life in JobNimbus, the matching QuickBooks Project gets created by a person on the QuickBooks side.
Why won't JobNimbus let me save a product name?
Two documented rules catch this. Product names are capped at 32 characters for QuickBooks Desktop and 100 characters for QuickBooks Online, and the colon character is not permitted in product names at all. A long name with a colon in it will fail both tests at once.
Does JobNimbus sync with QuickBooks Desktop?
JobNimbus documents native connections to both QuickBooks Online and QuickBooks Desktop, and its constraints article covers both. Product names are capped at 32 characters for Desktop and 100 for Online. The article listing what does and does not sync is specifically about QuickBooks Online, so don't assume its exclusions describe Desktop.
